Regulations

These regulations apply to the union cf. § 1, and are valid within the time span mentioned in § 8.1. The regulations serve as the overall guidelines for the union activitites and work and in case of any unforeseen complications.
 



Chapter 1: Name and place of residence

§ 1. The unions name is ”Information Management Association (IMA)” and is located at Aarhus University, Business and Social Sciences, Fuglsangs Allé 4, 8210 Aarhus V


Chapter 2: Purpose

§ 2.1. The purpose of the union is to handle the members interest within the IT field, as well as queries that may be put forward and approved at a ordinary general assembly. Primarily the union seeks to:

  • Find and organise professional and social events and material for the members.
  • Promote the it-study lines Ha(it), MSc Information Management and Cand.it (ITKO) at Aarhus University, Business and Social Sciences. Both internally in the school and work groups as well as externally to the corporate world and the surrounding community in general.
  • Maintain and develop the relationship between Ha(it), MSc Information Management and Cand.it (ITKO).
  • Develop and improve the combination of courses for students at Ha(it), MSc Information Management and Cand.it (ITKO).
  • Communication information within the union as well as between unions, lectures, tutors, influential bodies and institutions within Aarhus University, Business and Social Sciences and the corporate world.

§ 2.2. The union is a non-profit organisation.


Chapter 3: Membership and membership fee

§ 3.1. Everyone who are either studying, has a degree in or is teaching at Ha(it), MsC Information Management and Cand.it (ITKO) at Aarhus University, Business and Social Science, are automatically granted membership.

§ 3.2. Students who are not mentioned above will achieve membership by enrolling at IMAs homepage (www.im-a.dk).

§ 3.3. IMA charges no membership fee.

§ 3.4. Resignation of membership has to be handed in writing to the treasurer.

§ 3.5. Membership motions are presented by the board at the general assembly following a vote by the members. If the motion is declined the general assembly has to put forward a new suggestion which will then be put up for an immediate vote.


Chapter 4: The General Assembly

§ 4.1. The General Assembly is at any given time the union’s highest authority.

§ 4.2. The general assembly must be held once a year in either September or October. The board will determine the exact date.

§ 4.3. Notice has to be send out at least 21 days before the general assembly and to every single member through either e-mail or letter as well as posters at Aarhus University, Business and Social Sciences.

§ 4.4. The board can invite and/or allow non-members at the general assembly; these, however, are not entitled to vote.

§ 4.5. The general assembly is run by a moderator and the proceedings must be recorded.

§ 4.6. For the ordinary general assembly the agenda has to include at least the following:

A.    Election of moderator and minute taker
B.    Presentation of the chairmans report of the year
C.    Presentation and approval of the audited accounts
D.    Election of members of the board, substitute members of the board, accountant and substitute accountant.
E.    Submitted motions
F.    Any other business

§ 4.7. Only subjects mentioned in the agenda can be put up for at vote. Any additions to the agenda must be handed over in writing to the chairman of the board at least 14 days before the general assembly.

§ 4.8. Only the following are entitled to vote at the general assembly:

  • Any member of IMA
  • Honorary members

§ 4.9. Ballots are won by simple majority.

§ 4.10. To cast a vote at the general assembly either personal attendance or authorising an attending member to vote is required. Voting must be anonymous in case a members so wishes.

§ 4.11. The audited accounts must be available to the members at least 7 days before the general assembly.


Chapter 5: The Board

§. 5.1. Only members enrolled at Aarhus University, Business and Social Sciences, can be elected to the board.

§ 5.2. The board consist of a chairman, vice chairman, treasurer and up to 3 other board members.

§ 5.3. As far as possible the board must consist of students from both MsC Information Management and Cand.it (ITKO) as well as be represented in each year group.

§ 5.4. When needed, the board will form subcommittees and every committee will have a coordinator, who is responsible for summoning to committee meetings and presenting progress reports at board meetings.

§ 5.5. Board meetings will be held when needed, yet at least three times per semester. The chairman is responsible for summoning the other board members to board meetings.


Chapter 6: Economy

§ 6.1. At every ordinary general assembly a new treasurer is elected, who is to be in charge of the unions economy.

§ 6.2. The financial year lasts from the 1st of August to the 31st of July and is each year being presented at the ordinary general assembly.


Chapter 7: Interpretation

§ 7.1. Anything which these regulations does not clearly prescribe, is subjected to the interpretation of the board who are accountable to the members of the union.


Chapter 8: Commencement and amendment

§ 8.1. These regulations have been approved at the General Assembly the 22nd of September 2011 and are valid until others are carried.

§ 8.2. These regulations replace all previous regulations of IMA.

§ 8.3. Amendments must be available for the members at least 7 days before the general assembly.

§ 8.4. At least 2/3 of members attending the general assembly must vote in favour of the amendment. If this it not the case the amendment are rejected and if necessary the board will put up new amendments for voting at the next general assembly (ordinary or extraordinary).


Chapter 9: Dissolution

§ 9.1. For IMA to dissolve at least 2/3 of all IMAs members has to vote in favour of a dissolution at a general assembly.

§ 9.2. In case of dissolution the General Assembly has to find an agreement as to how to make use of the unions funds.
